Employment Termination Letter Template

An employment termination letter template is a formal letter addressing the termination of a job agreement or an ongoing employee contract. A termination letter is usually written when you no longer require the services of another entity. Writing a termination letter maintains a positive relationship and leaves a professional tone, even if the contract ended in a disagreement. Even with a breach of contact, one must maintain a positive tone with the other party. Writing a termination letter is more than just a way of breaking a contract; it states the reason why and how a contract ended. It’s an official and important piece of documentation in business dealings. Termination letters may also be a way to express your gratitude to the other party for their services. It may make sense to breach a contract via phone or email before consigning a termination letter. In many cases, the other party might re-negotiate the reasons for termination of the letter; in all cases one must maintain a conciliatory tone for the benefits of contact.

Tips to write an Employment Termination Letter:

• State the Purpose: At the beginning of a letter, state and notify the other party or employee that their contract has ended and also specify the date it ends; the letter must contain the employees full name and also their position in a company properly.

• Clarification: The letter should state the terms of breach of contract and also ensure that the reasons and purposes remain clear and there are no misinterpretations or disagreements between the two parties. This step is carried out to make sure the contract ended on good terms with both parties.

• Reimbursement and Other Factors: Explain details about compensation or salary owed by the company, or if there are any unused vacation leaves left for the employee, the company must ensure to compensate for all the owed packages. In certain cases, the company also provides a letter which ensures a better position or recruitment in another company or organization.

• Return of Privileged Property: Following text, the company can notify the employee of any property return that was given at the beginning of the contract; for instance, ID badges, mobile phones, parking passes. In many cases, the employees must return any car or house given by the company at the termination of the contract.

• Conclude the Letter: At the end of a letter, the company can include the last day of an employee’s pay check or any additional information required by the employee for further employment.

Termination Letter and Resignation Letter:

Just like a resignation letter, it is a formal notice from an employee; a terminal letter is a formal notice from an employer. An employment termination letter serves as legal proof, if required later in the future. A good termination letter must contain all the employee’s concerns and aims to end the relationship in a cordial manner. Employment termination letters may be signed due to certain behavior or mistake of an employee, while in certain cases of termination letter, a company may sign one without any issues with the employee’s behavior.
